This policy explains how Waller & Smith ("we", "us", "our"), a landscaping and garden design business based in Godalming, Surrey, collects and uses personal data when you visit wallerandsmith.co.uk or get in touch with us — most importantly, through the contact form on this site. We handle your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
If you have any questions about this policy or how we handle your data, contact us at hello@wallerandsmith.co.uk or 07909 518242.
What we collect
When you submit our contact form, we collect whatever you choose to give us in that form:
- Your name
- Email address
- Phone number
- Postcode (optional)
- The type of work you're enquiring about (optional)
- The message and project details you write
We don't ask for or collect any payment details, financial information, or special category data (such as health information) through this form, and you shouldn't need to include any in your message.
How we use it
We use the information you submit for one reason only: to respond to your enquiry — for example, to get back to you about a quote, arrange a site visit, or answer a question. Our lawful basis for this is our legitimate interest in responding to enquiries from people who have chosen to contact us.
We do not sell, rent or trade your personal data to anyone. We don't use the details you submit through this form for marketing, and we won't add you to any mailing list without asking you separately first.
Who we share it with
Your enquiry is sent directly to our own inbox. A small number of third-party services help that happen safely and reliably:
- Our email provider — the contact form sends your message to us via our business email hosting, purely to deliver the email. They process it as our data processor and don't use it for their own purposes.
- Cloudflare, Inc. — we use Cloudflare Turnstile, a privacy-focused tool that checks a form submission is coming from a real person rather than automated spam software. See Cloudflare Turnstile below for details.
We don't share your details with any other third party, and we don't transfer your data outside the UK or European Economic Area except where the providers above do so under their own appropriate safeguards.
Cloudflare Turnstile
To stop spam and automated submissions, our contact form is protected by Cloudflare Turnstile, a challenge-free alternative to traditional CAPTCHAs. It usually runs invisibly in the background without asking you to click, tick a box, or solve a puzzle.
To do this, Turnstile analyses some technical signals about your browser and device (such as your IP address and browser characteristics) to help confirm you're a genuine visitor. This processing is carried out by Cloudflare, Inc. as an independent data processor. Full details of what Turnstile collects and how Cloudflare handles it are set out in Cloudflare's own Turnstile Privacy Policy Addendum, which forms part of this privacy policy by reference. Cloudflare's general Privacy Policy has further information about how they handle data more broadly.
How long we keep it
We keep contact form enquiries for as long as reasonably needed to deal with your enquiry and for a sensible period afterwards for our own records — typically no longer than 24 months, unless we're still actively working with you or have a legal reason to keep it longer. After that, it's deleted.
Keeping your data safe
We take reasonable technical and organisational steps to protect the information you send us, including submitting the contact form over an encrypted (HTTPS) connection and restricting who can access enquiries once they reach us.
Your rights
Under UK GDPR, you have the right to:
- Ask us what personal data we hold about you, and get a copy of it
- Ask us to correct inaccurate data
- Ask us to delete your data
- Ask us to restrict or object to how we use your data
- Ask for your data in a portable format
To exercise any of these rights, email hello@wallerandsmith.co.uk.
Cookies
This site uses a small number of cookies and similar technologies, covered separately in our Cookie Policy.
Changes to this policy
We may update this policy from time to time — for example, if we start using a new tool on the site. The date at the top shows when it was last revised. If changes are significant, we'll make that clear on this page.
